We are seeking a detail-oriented and efficient IT Office Coordinator to join our Information Technology Services (ITS) department. The successful candidate will support our IT operations, ensuring smooth coordination and communication within the department and with other university stakeholders.

Key Responsibilities

Office Coordination

  • Serve as the primary point of contact for the ITS department, handling inquiries and providing information to students, faculty, and staff.
  • Coordinate and schedule meetings, training sessions, and events for the ITS department.
  • Assist in the preparation and distribution of departmental communications and documentation.

Administrative Support

  • Maintain and update IT department records, files, and databases.
  • Process purchase orders and track departmental expenditures, ensuring compliance with university policies.
  • Assist with the onboarding of new IT and university staff, including coordinating equipment delivery and account creation

Inventory Management

  • Monitor and manage inventory of IT equipment and supplies.
  • Coordinate with vendors for procurement and maintenance of IT assets.
  • Ensure accurate tagging and documentation of IT assets.

Technical Support

  • Provide basic technical support to university staff and students, escalating issues to the appropriate IT personnel as needed.
  • Assist in the setup and maintenance of IT equipment for university events and classrooms.

Collaboration and Communication

  • Liaise with other university departments to coordinate IT-related activities and projects.
  • Maintain effective communication within the ITS department to ensure smooth operations.

Qualifications

  • Bachelor’s degree in Information Technology, Business Administration, or a related field preferred but not required
  • Previous experience in an administrative or coordination role, preferably within an IT environment.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in using office productivity software (e.g., Microsoft Office Suite) and familiarity with IT asset management tools.
  • Basic understanding of IT infrastructure and support services.
  • Ability to work independently and collaboratively in a team environment.
  • Attention to detail and problem-solving skills.
